Overview

An opportunity has arisen to fill the position of Personal Assistant to the General Manager, Operations. The purpose of this role is to provide dedicated, professional support to the GM in a demanding, fast paced environment driven by business needs. The successful candidate will report directly to the General Manager and will revel in the challenge of this role and will be able to confidently deal with all requests efficiently and be able to organise and prioritise their time suitably.

Qualifications

  • Minimum 3 years’ experience in a similar role.
  • Excellent IT skills across MS office suite with emphasis on MS Word and PowerPoint. Excel an advantage.
  • Excellent interpersonal and communication skills (written and verbal).
  • Strong relationship management skills with a range of stakeholders.
  • Ability to multitask, prioritise and manage workload in a dynamic working environment.
  • Third level business qualification is desirable but not essential.
  • Attention to detail in the production of quality documentation, reports, and events an essential attribute.
  • Positive can-do self-starting attitude a requirement.
  • Committed to daa values and leadership standards.

Responsibilities

  • Provide day-to-day diary support to the General Manager.
  • Diary and Time management.
  • Oversee the office management keeping the office of the GM running smoothly to include timely submission of expenses, approvals, and other reports as per required timelines.
  • Prepare and disseminate routine, scheduled, and ad hoc communications from the GM.
  • The ability to interact with staff at all levels, sometimes under pressure, remaining flexible, proactive, resourceful, and efficient, with a high level of professionalism and confidentiality is crucial to this role.
  • Prioritise and manage multiple issues simultaneously and follow through on issues in a timely manner.
  • Preparation, review and amendment of reports and presentations to a very high standard for SMT and DAP purposes.
  • Maintain appointment schedule and calendar; coordinate details of cadence and planning for regular internal and external meetings; gather information and assist in meeting agenda preparation and follow up.
  • Provide the GM with status updates on all key projects / initiatives underway - escalation of issues and delays as required.
  • Handle incoming and outgoing correspondence and emails on behalf of the GM, determine which items should be referred to other management team members.
  • Keep accurate records of meetings and provide support to wider SMT as required.
